Destination and certificate - Confirm destination country. - Confirm port of discharge. - Confirm certificate name used for that corridor. - Check whether the certificate must be issued before loading or before arrival. 2. Core documents - Bill of Lading draft or final copy. - Commercial invoice. - Freight invoice. - Packing list when required. - Cargo manifest when available. - Export declaration or customs reference when required. 3. Shipment details - Shipper, consignee, and notify party names. - Vessel name and voyage number. - Container numbers or vehicle details. - HS codes, cargo description, gross weight, and volume. - Freight value and invoice currency. 4. Quote and filing - Request the official government fee for the destination authority. - Confirm the fixed ITR service fee: EUR 40. - Approve the total before filing. - Keep payment proof and final certificate with shipment records. 5. Risk checks - Names and addresses match across documents. - BL number and invoice numbers are consistent. - Cargo description is clear and not abbreviated beyond recognition. - Timing is still within the destination country's filing window. - Any amendments are requested before final validation.
